[Grammar] Does this sound grammatically correct?

Thank you Sandi for finding the best bus rate for us. Below is the proposed schedule for both meeting:

First Meeting:
Bus pickup at 7:00 am at the Renaissance Austin Hotel - Lobby
The meeting will end at 4:30 pm

Second Meeting:
Bus pickup at 7:30 am at the Renaissance Austin Hotel –Lobby
The meeting will end at 5:00 pm

You have my credit card on file to authorize the charge and thank you again for coordinating the bus services

I would place a comma before and after "Sandi". The last word in the first sentence should be plural "meetings".

The second lines under the meeting arrangements should end with periods/full stops. There should be a space before the second use of "Lobby".

I would make two sentences from the last sentence: You have my credit card on file to authorize the charge. Thank you again for coordinating the bus services. (notice the period/full stop)
 
Will it sound better if we replace "the meeting will end at 5:00" with "the meeting will have ended by 5:00"?

Not for me. And the meaning is not the same. When something ends by a certain time, it can end at that time or before that time.
